CALL TO ORDER Community at Large Community at Large Community at Large Maple Ridge Historical Society Community at Large Maple Ridge Historical Society Staff Liaison, Community Planner Committee Clerk President, Maple Ridge Historical Society Council Liaison There being a quorum present, the Chair called the meeting to order at 7:20 pm. 2. AGENDA APPROVAL R16-010 It was moved and seconded That the agenda be amended to edit Item 8.1.3 to remove the word "Times" and be adopted as amended. CARRIED 3. MINUTES APPROVAL R16-011 It was moved and seconded That the Minutes of the March 1, 2016 meeting be adopted. CARRIED 4. DELEGATIONS -Nil CHG Minutes April 5, 2016 Page 2 of 4 5. FINANCE 5.1 Financial Update -2016 Budget The Chair provided an updated budget. 6. CORRESPONDENCE -Nil 7. NEW & UNFINISHED BUSINESS 7.1 Membership 7.1.1 Calendar of Events A current calendar of events was provided via email by the Chair to the Commission on April 5, 2016. Upcoming events were reviewed. There are funds in the budget for Commission members to attend history related events. 7.2 Next Meeting Date -May 3, 2016 The Commission will meet in May and June and then break for the summer. An alternate date of September 1st was discussed for the September meeting due to a conflict with a Council meeting. 8. SUBCOMMITTEE REPORTS 8.1 Communications Subcommittee 8.1.1 Heritage Here Newsletter The Chair reported the Heritage Here Newsletter is a work in progress. 8.1.2 Local Voices The Chair reported on the upcoming Local Voices sessions. A beekeeper, a blacksmith and a member of Chess Club are booked for May. Fall sessions are already planned. 8.1.3 Maple Ridge Newspaper The Chair reported on the recent Maple Ridge news coverage regarding the museum. The local magazine "What's On" has recently begun to include a heritage feature. 8.1.4 Member of Parliament Open House The Chair attended the Open House for recently elected Liberal MP Dan Ruimy. The Chair reported that Mr. Ruimy's staff are open to receiving heritage related information from the Commission for Mr. Ruimy's review. 8.2 Recognitions Subcommittee 8.2.1 Heritage Marker Inventory Project The Heritage Marker Update Form was reviewed and approved. Steven Ranta and Len Pettit volunteered to visit markers and collect current information. 8.2.2 Heritage Week A 2017 Heritage Award subcommittee will be formed at the May meeting. It was agreed to add Item 8.2.3 CHC Marketing Package to the agenda. ( CHC Minutes April 5, 2016 Page 3 of 4 R16-012 R16-013 8.2.3 CHC Marketing Package An updated quote for a full marketing package for the Heritage Commission has been obtained. The work will include an updated CHC logo, business card template, letterhead, newsletter template. It was moved and seconded That $1,800 be allocated from the CHC budget for the graphic design update of the CHC marketing package. After discussion motion was withdrawn. It was moved and seconded That a decision on the purchase of an updated marketing package be postponed until a Council Liaison is present. CARRIED The Chair will circulate the criteria for the work to Commission members. 8.3 Education Subcommittee 8.3.1 CHC Field Trip Update Education Subcommittee Chair Sandra Ayres reported the field trip to the North Vancouver archives has been rescheduled to June 4, 2016. 8.3.2 Coquitlam Heritage Symposium Sandra Ayres reported she has reviewed the agenda for the upcoming Coquitlam Heritage Symposium and is confident the event will provide a wealth of information regarding museum planning. Ms. Ayres encouraged Commission members to attend. The cost of attending will be covered for Commission members. 8.3.3 BC Society Act Workshops The Chair reported she had discussed the idea for the BC Society Act Workshop with Yvonne Chui , Manager -Arts and Community Connections. Arts organizations will also be impacted by the changes to the Act. Planning for a local event will continue over the next few months in conjunction with Lino Siracusa, Manager of Economic Development. The capacity for Maple Ridge to host workshops and other educational events was discussed. 8.4 Digitization Project Subcommittee The Chair reported that May 17th will be the next meeting of the Digitization Project subcommittee. Data provided by Stephanie Riley, Records Management Coordinatur, will be analyzed to determine the scope of next steps, including cataloguing historical records. Mr. Gary Mitchell, provincial archivist emeritus will be invited to a meeting to outline the municipality's legal obligations in regards to preserving the documents. 8.5 Heritage Inventory Project Update The Staff Liaison reported the Request for Proposal is ready to be published. The Heritage Inventory Update subcommittee will review the applications received. 8.6 Robertson Family Cemetery Project Subcommittee The Staff Liaison is clarifying what protections may exist for the property. Costs are being finalized so a request can be made to Council for the funds to have ownership of this property taken over by the City. ( L CHC Minutes April 5, 2016 Page 4 of4 9. LIAISON UPDATES 9.1 BC Historical Federation The Chair will be attending the BC Historical Federation conference in Revelstoke and will report on the activities of the CHC. 9.2 Heritage BC Previously discussed. 9.3 Maple Ridge Historical Society The MRHS recently hosted a tea and their Annual General Meeting. 9.3.1 Edge Family Legacy Project Faye Isaac is pleased to see the Edge Family project presentation getting so much attention. The Chair reported the next presentation will be in Abbotsford. The project will be displayed in the library over the summer and will then travel to a genealogical conference in Kelowna. 9.4 Council Liaison The Chair reported she attended a very productive meeting March 10th with Mayor Read, the Staff Liaison and Councillor Speirs to discuss the changes to the advisory committees. A detailed business plan will be due in the fall. 10. QUESTION PERIOD 11. ROUNDTABLE The Staff Liaison has received a donation of school books from the 1920s. They will be passed to the MRHS. Mr. Phillips reported the Hope museum is currently being moved and is not open for visitors. Mr. Ranta reported he thought the presentation made to Council by the Chair earlier in the evening was very well done. Ms. Ayres recently visited an air museum in Tucson, Arizona. The Chair recently enjoyed a visit to the Port Coquitlam museum and a nearby bakery. 12. ADJOURNMENT It was moved that the meeting be adjourned at 8:58 pm. /ss
