COMMITTEE PRESENT: Kristin Krimmel, Chair Artist Gabriella Morrison Community Member Craig Redmond Developer, Norond Group Brian Shigetomi Architect Barbara Duncan Curator, Maple Ridge Art Gallery Craig Speirs Councillor, District of Maple Ridge Liaison DISTRICT OF MAPLE RIDGE STAFF PRESENT: Shelley Jorde Recreation Manager, Community Connections Ingrid Kraus Executive Assistant, Administration REGRETS: Susan Hayes, Vice-Chair Artist 1. Call to Order at 3:05 pm The Chair welcomed everyone and called the meeting to order. 2. Adoption of the Agenda R11-027 It was moved and seconded That the Agenda for the June 15, 2011 Maple Ridge Public Art Steering Committee meeting be adopted as amended. CARRIED 3. Minutes of the Maple Ridge Public Art Steering Committee R11-028 It was moved and seconded That the minutes of the May 18, 2011 meeting be approved as circulated. CARRIED 4 UNFINISHED & NEW BUSINESS 4.1 Installation & Dedication of Community Art Project – Leisure Centre Maple Ridge Public Art Steering Committee Regular Meeting Minutes – June 15, 2011 Final Maple Ridge Public Art Steering Committee Minutes Page 2 of 4  The Committee thanked Shelley Jorde for coordinating the installation and unveiling ceremony of the Sun Mural. The event was well attended and the artwork is a welcomed addition to the lobby of the Leisure Centre.  The installation itself was more complicated than expected and the following suggestions were made for future projects: Artists will be expected to provide: - more detail on the material used, weight and instructions for installations - a written summary of the details and history of the project - instructions on how to clean and maintain the art work Staff will: - incorporate that installation and maintenance instructions will be a requirement as part of the contracts  A discussion on what happens to art work if it has to be moved will be brought forward to a future meeting. 4.2 Report to Maple Ridge Council  The presentation is confirmed for June 28 at 7:00 pm. Barbara Duncan is working on the PowerPoint presentation and circulated a draft for comment.  Photos of the Spirit of Wood carvings were request -- Ingrid to forward.  Shelley Jorde asked for two additional slides: reference to the bylaw and listing the Committee members. 4.3 Public Art Committee – new candidates, renewals  Shelley Jorde reviewed the process for filling vacancies on Committees of Council. A member whose term has expired is eligible to re-apply. An ad will run in the local paper and the closing for applications is July 18.  Mr. Brian Shigetomi has resigned and will step down from the Committee having served a two-year term. Mr. Shigetomi was thanked for his time and commitment to the start up of the Maple Ridge Public Art Steering Committee. 4.4 Policy & Procedure Manual Final Edits  Kristin Krimmel completed the final edits to the document. The significant changes as a result of the Fee for Service Agreement are now included. A discussion on who would be responsible for the installation of art projects followed.  Shelley Jorde will speak to the District’s Risk Manager regarding liability and insurance matters. R11-029 It was moved and seconded That Public Art Policy and Procedures, Section B. Management, Item #6, be deleted. CARRIED 4.5 Budget Review  Shelley Jorde reviewed the two agreements and the status. A discussion on the fees and how these would be covered followed. Staff will obtain additional information on the process.  Infrastructure Replacement – the question was raised as to whether public art replacement should be included under Infrastructure Replacement. Following a discussion, staff will seek further clarification from Corporate Finance. Maple Ridge Public Art Steering Committee Regular Meeting Minutes – June 15, 2011 Final Maple Ridge Public Art Steering Committee Minutes Page 3 of 4 R11-030 It was moved and seconded That Shelley Jorde follow up on the inventory of public art assets and maintenance schedules and, that this matter be brought back to the next meeting. CARRIED 4.6 Signage  Suggestions received from Mr. Terry Willis, Artisall, were circulated. The committee reviewed the options and asked Barbara Duncan to proceed with the recommendation. R11-031 It was moved and seconded That Barbara Duncan will coordinate the signage for the Tendance project and that she be authorized to negotiate a cost up to a maximum of $500. CARRIED 4.7 Inventory  The committee reviewed the need to complete an inventory on the art projects in Maple Ridge. There were many ideas of what the inventory should include in addition to basic information such as: - maintenance requirements - who is responsible for the maintenance - historical details - how it could link to the cultural mapping project - installation details  Who should ultimately maintain the list and what format it should take needs further discussion.  Kristin Krimmel has started a list in Excel. Following a discussion, it was agreed that Kristin will forward the list to Ingrid Kraus who will assist in gathering further details and research options on how to manage the information. This item to be brought back to the first meeting in September. 4.8 224th & Lougheed site review  The site needs to be reviewed as to what is possible and a discussion followed on: - The planter and what can be put at this location - Signage issues – limited space and completing with the business - Imbedded options - Using lighting as part of the art work – are electrical conduits available?  A subcommittee will be formed and volunteers needed to plan this commissioned public art piece. Following a discussion it was agreed the following would make up the sub-committee: - 1 Representative from WSCU - 1 Representative from Narland - MR Public Art Steering Committee members: - Ms. Susan Hayes Maple Ridge Public Art Steering Committee Regular Meeting Minutes – June 15, 2011 Final Maple Ridge Public Art Steering Committee Minutes Page 4 of 4 - Ms. Gabby Morrison - Mr. Craig Redmond - Ms. Barbara Duncan - Councillor Craig Speirs - Ms. Shelley Jorde Mr. Brian Shigetomi offered to assist if needed. 5.0 Adjournment R11-032 It was moved and seconded That the meeting be adjourned.
